Privacy, plainly.

This policy explains, in plain language, what Community Archives collects, why, and the promises we keep about your community's content.

Who this policy covers

Community Archives is operated by Points Playground LLC. This policy applies to the Community Archives website, hosted community archives, and the related services we provide.

What we collect

Imported source content
Imported messages and supported reactions, reply context, and preserved files from the WhatsApp groups or Slack channels you select.
Account and contact information
Admin and invited-member email addresses, WhatsApp phone numbers, and Slack identities used to create accounts, verify archive access, and send service messages.
Source connection information
Provider account, workspace, group, channel, and connection details needed to link the sources an admin selects. Authentication credentials and tokens are stored only when needed to keep a connection working.
Billing information
Subscription status, plan, transaction identifiers, and related billing records. Stripe processes payment-card details; Community Archives does not store full card numbers.
Usage and technical information
IP address, browser and device details, pages viewed, interactions, referring pages, timestamps, performance measurements, and error diagnostics.

Why we collect it

We use this information to import and preserve selected history, provide search and archive access, authenticate members and admins, process billing, deliver service messages, provide support, protect the service, diagnose failures, understand product use, and comply with legal obligations.

We do not use your community's content to train models, and we do not sell it.

Connected sources and authentication

Community Archives imports message content only from selected WhatsApp groups and Slack channels. WhatsApp discovery may inspect chat metadata to identify eligible groups; one-to-one message content is not archived.

A source connection does not post into the selected group or channel. Community Archives may separately send one-time authentication codes or essential service notices through WhatsApp or email when a person requests them.

What members can see

Members see archived content according to the archive's access level, which the admin controls. Details like a member's raw phone number are never shown to other members.

Retention and deletion

We keep account, connection, and archive information for as long as it is needed to provide the service. Connected sources may continue importing until an admin disconnects them. We may retain limited records longer when required for security, billing, backups, dispute resolution, or legal compliance.

Who we share data with

We rely on a small set of subprocessors to run the service. We share only what each needs to do its job:

Website hosting and content delivery.
Railway
API, background worker, and WhatsApp connector hosting.
Supabase
Database and file storage for your archive.
Stripe
Subscription billing and payment processing.
Resend
Transactional and secure sign-in email delivery.
PostHog
Product usage analytics.
Sentry
Application error monitoring and diagnostics.
Slack and Meta/WhatsApp
Source connectivity, membership verification, and requested authentication delivery.

Analytics and diagnostics

When analytics is enabled, PostHog receives information about pages viewed and product interactions. That information can include URLs, page titles, and text associated with an interaction. Session replay is disabled. Secure sign-in-link pages are excluded from product analytics.

Sentry receives error and performance diagnostics. A diagnostic can include the application state or archive content involved in a failure. We filter credentials such as access tokens, passwords, one-time codes, and connection strings before an error is sent.

When information may be disclosed

We disclose information to the service providers above, when required by law or a valid legal process, to protect people or the service from harm, or as part of a merger, acquisition, financing, or sale of assets. We do not sell personal information or share it for cross-context behavioral advertising.

Cookies and similar technology

Community Archives uses essential cookies to maintain secure sessions. When product analytics is enabled, PostHog may use cookies or similar identifiers to connect activity across visits. Blocking essential cookies may prevent sign-in and other account features from working.

Security

We use technical and organizational safeguards appropriate to the service, but no method of transmission or storage is completely secure. Read more on our security page.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information, or to object to or restrict certain processing. An archive admin can disconnect a source, and email recipients can use any unsubscribe control included in a non-essential message.

Children

Community Archives is not directed to children under 13, and we do not knowingly collect their personal information. Contact us if you believe a child has provided personal information to the service.

International processing

Community Archives and its service providers may process information in the United States and other countries. Those countries may have different data-protection laws from where you live.

Changes to this policy

We may update this policy as the service changes. We will post the revised policy here, update the date below, and provide additional notice when required by law.

We don't sell your data

No. Not to advertisers, not as training data, not aggregated, not anonymized. Community Archives is funded by subscriptions.
